2.1 Account & Contact Information

  • Name, email, phone number, company name, and job role when you register.
  • Login credentials and authentication data.

2.2 Fleet & Driver Data

  • Vehicle identification numbers (VINs), license plates, mileage, and fuel usage.
  • GPS location and route history (for vehicles and/or drivers).
  • Maintenance records and work orders.

2.3 Technical & Usage Data

  • Device type, browser version, and operating system.
  • Log data including IP addresses, timestamps, and pages accessed.
  • User activity within the platform (e.g., reports generated, modules accessed).

3. How We Use Your Information

We process data to:

  1. Provide and maintain the Service.
  2. Generate fleet performance reports and analytics.
  3. Enable maintenance scheduling and work order tracking.
  4. Send important account or service notifications.
  5. Improve features, security, and user experience.

We do not sell your personal or fleet data to third parties.

4. Location Tracking

If you enable GPS tracking for vehicles or drivers, the system will collect and process real-time location data.

  • Tracking is active only for vehicles assigned on the platform.
  • It is your responsibility to ensure drivers are informed and consent to tracking where required by law.

5. Sharing of Information

We may share your data only with:

  • Authorized users within your organization.
  • Service providers that help us operate the platform (e.g., cloud hosting, payment processing).
  • Legal authorities, if required by law, court order, or to prevent fraud or misuse.

All third-party providers are contractually obligated to protect your data and use it only for agreed purposes.

6. Data Storage & Security

  • Data is stored on secure servers located in Frankfurt/Germany.
  • We use encryption, access controls, and regular security audits to protect data from unauthorized access, alteration, or loss.
  • While we take strong measures, no system is 100% secure, and you share data at your own risk.

7. Data Retention

  • We keep your data only as long as necessary to provide the Service and comply with legal requirements.
  • Upon account closure, your data will be retained for 5 months for potential account reactivation or compliance purposes, then permanently deleted or anonymized.

8. Your Rights

Depending on your location, you may have rights to:

  • Access a copy of your personal data.
  • Request corrections or updates.
  • Request deletion of your data.
  • Restrict or object to certain processing.
  • Receive your data in a portable format.
